Onboarding information
Please read the information given below carefully and complete the requirements below for a smooth transition to campus life.
1- A welcome email will be sent to all PG/Ph.D. new entrants on their registered email address in batches from 01 July to 15 July 2025. This email shall contain login details for the IIT Bombay IT services.
2- Your IITB roll number will be your primary identification number in the Institute. You will be communicated your IITB Roll No. by email in batches from 01 July to 15 July 2025.
3- Visit https://www.cc.iitb.ac.in/page/newentrants to accept IT Access Policy and activate your IT services login ID. Your login ID is your roll number (in lowercase), and your initial password has been shared on your registered email ID. .
4- After accepting the IT policy, logon to https://portal.iitb.ac.in/asc:
a) Fill out personal information and accept the declarations.
b) Pre-filled forms are available on ASC Portal. Take a printout, affix photographs, sign, and bring these pre-filled documents on your arrival.
i- Student Declaration Form (to be submitted to respective departments during Registration)
ii Hostel Registration Form (only for those who have paid fees with the hostel, to be submitted to Hostel Office before collecting keys)
iii- Medical File Record (to be submitted to the Hospital at the time of initial health checkup)
c) Upload documents (as displayed on the interface).
5- Students are welcome to occupy hostels from 11:30 am on 22nd July, 2025.
6- On arrival, show the Visitor Entry Pass barcode (shared on your registered email ID) at the Main Gate.
7- Report to your allotted hostel with the Hostel Registration Form for collecting keys of your room.
8- The Student Mentor Programme has been made to introduce incoming freshers to life at IIT Bombay. This will help you get to know more about the culture at IIT Bombay from a student's perspective!
9- All PG entrants are expected to be equipped with laptops. Loan assistance for purchase of Laptop/various IT requirements for the study is being planned to help needy students. For more details, you may refer to the following link: https://fap-iitbaa.org/
10- All students have to meet an IITB Hospital doctor (according to a schedule that will be shared later) with a copy of the Medical File Record. On verification of this record the doctor will authenticate the records and create a personal medical file to be retained by the student. This file is compulsory for all hospital visits to IITB Hospital for the purposes of:
- Medical consultation
- Maintaining Medical/surgical history
- For issuing a medical certificate for treatment undertaken at IITB hospital
- To know any previous drug allergy/ Any other allergy
- Reimbursement of medicine/ treatment taken at referred empanelled hospital outside
- To know the patient's medical / Surgical history in case of an emergency visit to the IIT hospital.
11- Vaccination information
These vaccines are highly recommended as there is a high incidence of these diseases in a closed community, resulting in high morbidity and significant loss of working days for students.

13- For making a hospital medical folder

The students are requested to take at least one of the above-mentioned vaccines (Preferably the M.M.R vaccine) before coming to the campus.

Those students who have updated their vaccination records should bring their records for verification.

At least proof of one of the above vaccines is required for making a medical folder

Those students who don't have a vaccination record/ not taken the above vaccine may be given the vaccine in the IITB hospital on a payment basis.
14-Checklist of Essential Documents to Bring
- Visitor pass (on the phone or printed)
- Declaration form signed by the student.
- Hostel Registration Form (after SMA payment) signed by student and parent/guardian.

- Childhood immunization certificates/records
